Clinic Policies & Patient Rights
These policies outline your rights and responsibilities as a patient of the Clinic. By booking an appointment through our website or otherwise, you acknowledge that you have read, understood, and accept these policies.
Before treatment begins, the proposed plan of care will be explained, including its expected benefits, potential risks, and reasonable alternatives. Patients are encouraged to ask questions and provide informed consent before treatment. Consent is an ongoing process and may be modified or withdrawn at any time.
Patients have the right to decline any assessment or treatment, request modifications to techniques or areas treated, or discontinue treatment at any time. Withdrawal of consent will not affect access to future services unless safety, ethical, or professional boundary concerns arise.
If a patient cannot provide informed consent due to age or capacity, consent will be obtained from a legally authorized Substitute Decision Maker. The Clinic follows Ontario consent laws and professional standards to involve patients in decision-making as fully as possible.
Registered Massage Therapy is not a substitute for medical diagnosis or emergency medical care, and therapists do not diagnose medical conditions. In the case of a medical emergency, patients should contact 911 or seek immediate medical attention.
Privacy & Health Information Protection
The Clinic collects, uses, and protects personal and health information in accordance with Ontario’s Personal Health Information Protection Act (PHIPA). Information is collected for providing safe and effective care, maintaining clinical records, processing payments and insurance claims, communicating regarding appointments, and meeting legal and regulatory obligations. Personal information will not be disclosed without consent unless required or permitted by law.
Clinical records are retained according to CMTO guidelines: adult records for a minimum of ten years from the last treatment, and minor records for at least ten years after the patient reaches eighteen. Patients may request access to their records, with reasonable administrative fees applied for copies or third-party reports. The Clinic’s directors act as custodians of health information.
Electronic communication, including email and text messaging, is the primary method for appointment scheduling, confirmations, reminders, and issuing invoices or receipts. While reasonable safeguards are in place, electronic communication carries inherent privacy risks. The Clinic does not sell, rent, trade, or share private information with unauthorized third parties.
Professional Standards & Safety
The Clinic is committed to maintaining a safe, respectful, and professional environment. Treatment is provided within the therapist’s scope of practice and in accordance with regulatory standards. Outcomes may vary and results are not guaranteed.
The Clinic follows public health and infection prevention standards, including hand hygiene, equipment sanitation, and laundering procedures. Unsafe or abusive behaviour will not be tolerated, and treatment may be refused if professional boundaries or safety are compromised.
The Clinic complies with the Ontario Human Rights Code and the Accessibility for Ontarians with Disabilities Act and provides services without discrimination on any protected ground.
Appointments, Fees & Payment
A minimum of twenty-four (24) hours’ notice is required to cancel or reschedule an appointment. Late cancellations or missed appointments may incur the full appointment fee. Arriving late may result in reduced treatment time, with the full fee still applicable. If more than half of the scheduled appointment time has passed upon arrival, the appointment may be considered missed and charged in full at the therapist’s discretion. The Clinic may waive fees under reasonable circumstances and reserves the right to cancel or reschedule appointments due to therapist illness or unforeseen circumstances.
Payment is due at the time services are rendered. If direct billing to an insurance provider is offered, patients remain responsible for any portion not covered. Verification of insurance coverage is the patient’s responsibility. Fees may also apply for services not covered by insurance, such as completion of forms, reports, or record copies. Accounts not paid within thirty (30) days may incur administrative fees and reasonable interest. Accounts in significant arrears (90 days or more) may be referred to a third-party collection agency in accordance with applicable laws.
Policy Updates & Concerns
The Clinic may update its policies in response to legislative, regulatory, or professional practice changes. Updated policies are effective upon posting.
Patients with questions or concerns about their care are encouraged to speak directly with the Clinic. Concerns that remain unresolved may also be addressed to the College of Massage Therapists of Ontario.
